How to book a meeting room

We have meeting rooms available for hire at the following locations:

Fees

Payment is by credit card or EFT (either preferred), or by cash payment at the library. If you require an invoice, please arrange this at the time of booking.
Our fees include the use of audio visual equipment where available.

Small room (seats up to 8)

Arrival

Make yourself known to one of the library staff when you arrive and they will show you to your room. You may be given a key or access card to use.
NB. If the room has been hired for after hours, the keys will be required to be collected during library opening hours. The staff will also guide you through an entry/exit and emergency procedure.

Catering

You are welcome to bring your own light refreshments or to have outside caterers deliver. Please avoid strong food odours which may affect other library users and dispose of all food containers thoughtfully.

Preparation and clearing up

Library staff will make sure the room is clean and tidy for your event but you may need to increase your booking time to cover room set up (if you need the furniture laid out a particular way, or have materials to bring in) and to return the room to its original state. People hiring the rooms must leave them in the same condition they found them, with any waste placed in the bins provided.

Promotion

You may be able to promote your event with a poster on the library’s Community Noticeboard (at the discretion of the Library Manager). Priority is given to events that are open to everyone and that have a cultural, heritage, sport and recreation focus.

Technology

There is free public Wi-Fi in the library. Many meeting rooms feature digital screens with video conferencing capabilities. This may include blue tooth connectivity to project from compatible devices and there are a range of adaptors available for use. If you have complex IT needs, a pre-visit to the library is recommended. Organisers are responsible for their own tech issues but library staff are on hand to assist if needed.
