2.3 Application assessment and approvals
Applications are assessed using information provided on the application form and any requested additional details. Approved applications must be signed by both the hirer and an authorised staff member (see Attachment A).
2.3.1 Private activities
If the room is available, and the intended use aligns with this Policy, staff will make a tentative booking. The application form must be signed by both the hirer and authorised staff member before the booking is formally confirmed.
2.3.2 Public activities
Library staff escalate room hire applications for public activities to the site manager who will:
- review applications for Policy compliance including the Meeting Room Hire Policy, Client Diversity and Inclusion Policy and Intellectual Freedom Policy
- undertake a risk assessment.
The site manager may request more information and/or escalate to the Director, Library Network.
- If approved: Staff notifies the applicant and an authorised staff member signs the hire application.
- If declined: Site manager briefs the Director, Library Network, who then communicates the decision to the applicant.
