3.3 Engaging with external providers

Although library and archives programs and events are primarily designed and resourced by Libraries Tasmania, we may at times, draw upon external providers for specialised or unique expertise and partner with them to deliver co-badged programs and events.

External providers may make a request to deliver a program or event and must do so in writing addressing the criteria outlined in this Policy.

Where requests are denied, the external provider may be offered hire of a meeting room for their program or event. Alternatively, the external provider may seek a review of the decision and will be referred to the relevant Director.

3.3.1 External provider requirements for child safety

Where Libraries Tasmania has agreed to engage an external provider to deliver a program and/or event, the relevant Manager (or delegate) must refer to the internal Registration to Work with Vulnerable People (RWVP) – Onsite Processes. Libraries Tasmania Managers (or delegate) must complete a risk management plan for one-off situations where the activity is, for example, an author/visitor delivering a talk and an RWVP is not required.

Prior to delivering a program or event, the Libraries Tasmania staff member responsible for engaging the external provider must provide the external provider with a copy of Safe. Secure. Supported. Safeguarding Framework (DECYP). The external provider must provide written confirmation that they agree to and will abide by this Framework.
